Getting started

From zero to your first scheduled job.

Create your account and company
  1. Go to app.crewstro.com/signup and pick a plan. Every plan starts with a 30-day free trial: a card is required, nothing is charged until day 30, and you can cancel anytime before then.
  2. Confirm your email, then fill in your company name and address. The address also sets the default center of your dispatch map.
  3. That's it. You land on your dashboard, ready to add clients and jobs.
Invite your team

Open Team from the sidebar and choose Invite. Pick a role for each member: admin, manager, or cleaner. You can fine-tune what each person sees (quotes, invoices, payments, reports, client contact info) on the invite screen. Field cleaners get the mobile crew app view automatically when they sign in on a phone.

Add your first client and job
  1. Clients: add one manually, or import your whole book with the CSV importer in Settings, Import.
  2. Jobs: choose New Job, pick the client (or create one inline), set the service type, property, date and time, and assign your crew.
  3. Recurring work: pick a frequency instead of one-time and Crewstro books the series for you.

Reschedule or reassign a job

Open the job from the Schedule and change the date, time, or assignees. Assigned crew members see the change on their phones right away. For a recurring series, you choose whether an edit applies to one visit or to all future visits that haven't been individually changed.

Use the live dispatch map

The Map view shows today's jobs and crew clock-in locations. Use it to see who's on site, who's finished, and what's still open. Route planning uses real drive times from Google.

Import bookings from Airbnb / Vrbo (iCal)

Paste your listing's iCal link in the calendar settings and check-outs appear on your schedule automatically. Turn on auto-jobs to have each check-out create a turnover job.

The crew app

Built for people working with gloves on, with or without signal.

Install the app on a phone

The crew app runs in the browser, no app store needed. On iPhone: open app.crewstro.com in Safari, tap Share, then Add to Home Screen. On Android: open it in Chrome and tap Install app. Signing in with a cleaner account opens the crew view automatically.

Clock in and out (works offline)

Tap Clock In on your next visit. The app records your GPS position and the exact time. If you have no signal, the punch is saved on the phone with its true time and syncs itself the moment you're back online. You'll see a banner showing anything waiting to sync.

Checklists and required photos

Each job can carry a room-by-room checklist and required photo slots. Ticks are saved as you go, even offline. If photos are required, Clock Out stays locked until they're captured, so proof of service is never missed.

Breaks and mileage

While clocked in, tap Take a break and End break; break time is deducted from paid hours automatically, and clocking out closes a forgotten break for you. You can also log miles driven for the visit, which flows straight into payroll reimbursement.

Tell the client you're on the way

On your next job's card, tap "I'm on my way" and the client gets a message with your ETA. Crewstro makes sure the client is only notified once per job.

Invoicing & payments

From finished job to money in the bank.

Create and send an invoice

Open Invoices, choose New, pick the client and line items. Your tax rate is applied automatically and invoice numbers follow your own sequence. Send it by email; the client gets a secure link where they can pay online.

Get paid online

Connect your Stripe account in Settings, Payments (a few minutes, guided). After that, every invoice link accepts card payments, money settles into your own Stripe account, and the invoice marks itself paid.

Collect payment in the field

In the crew app, open More and tap Collect payment: pick the visit, choose an open invoice or type a quick amount, and take the card on the spot. Quick amounts create a real invoice so your books stay clean. Owners decide who can collect via team permissions.

What each role can do

Admins and supervisors see everything. Managers run day-to-day operations. Cleaners get the crew app with their own jobs, clock, and timesheet; by default they don't see company finances or client contact details. Every member can be customized beyond their role on the invite screen or later in Team.

My cleaner can't see something they need

Open Team, select the member, and adjust their permissions. For example, granting client contact lets them call or text the client from a job, and the invoices designation lets them collect payment in the field.

How the free trial works

Every plan starts with a 30-day free trial of the plan you pick at signup. A card is required to start, but nothing is charged until day 30. Cancel anytime before then and you pay nothing.

Change plan or cancel

Settings, Billing shows your current plan, add-ons, and card. Upgrades apply immediately; downgrades and cancellations apply at the end of the billing period. Your data stays exportable either way.

Is my data safe?

Every company's data is fully isolated, enforced at the database level. Card numbers never touch our servers (payments run through Stripe). Read the full security overview.
